Terms & Policies – The Excelsior Hotel Downtown (Dubai)

1) Scope & Definitions

These Terms & Policies (“Terms”) govern all reservations, stays, and use of facilities at The Excelsior Hotel Downtown (“Hotel”, “we”, “us”, “our”) in Dubai, UAE. By booking or staying with us, you (“Guest”) agree to these Terms. In case of conflict, your booking confirmation and the Hotel’s on-property notices prevail.

2) Booking, Rates & Payment

  • Rate plans: Flexible, Advance Purchase/Non-Refundable, Corporate, and Promotional rates each carry distinct conditions shown at booking.

  • Guarantee: A valid credit card is required to guarantee reservations. We may pre-authorise your card to verify funds and/or collect deposits for incidentals.

  • Payment: Room and incidentals are payable in AED (United Arab Emirates Dirham). Major cards accepted; third-party payments may require an authorization form and ID.

  • Currency conversions shown online are indicative only; your card provider’s rate/fees apply.

3) Taxes & Mandatory Fees (Dubai)

  • VAT: 5% VAT applies to eligible charges.

  • Tourism Dirham Fee (Dubai): Charged per room, per night, for up to 30 consecutive nights, amount varies by hotel category. As a 4-star property, the current reference rate is AED 15 per room, per night. (Subject to change by authorities.)

Note: Some online travel agencies may show room rates excluding these amounts; they will be collected at check-in or check-out as required by law.

4) Check-in, Check-out & Identification

  • Times: Check-in from [15:00]; check-out by [12:00]. Early check-in/late check-out is subject to availability and may incur fees.

  • Minimum age: The lead guest must be 18+ (or higher if required by law).

  • Mandatory ID: All guests (including overnight visitors) must present original government ID at check-in: passport, Emirates ID, or GCC National ID. We are required to register guest details with local authorities and keep ID records.

5) Cancellation, No-Show & Early Departure

  • Policies depend on your rate plan:

    • Flexible: Cancel/amend by the stated deadline to avoid charges.

    • Non-Refundable/Advance Purchase: 100% of stay is charged at booking; no changes or refunds.

    • No-Show/Early Departure: If you don’t arrive or leave early, applicable charges per your rate plan apply.

  • Group or event bookings may carry separate terms.

6) Occupancy, Children & Extra Bedding

  • Occupancy is limited to the maximum for your room category; all occupants must be registered.

  • Children policies and extra-bed/crib availability are subject to room type and may incur charges.

  • For safety, the Hotel may decline extra occupants beyond legal or room-type limits.

7) Visitors

  • Day visitors must register at the Front Desk and present valid ID.

  • Overnight visitors are not permitted unless added to the registration; additional charges may apply.

  • The Hotel may restrict visitors at any time for safety, security, or capacity reasons.

8) Non-Smoking Policy (Updated)

  • All guest rooms and suites are strictly non-smoking (including cigarettes, e-cigarettes, vapes, and heated tobacco).

  • A cleaning & restoration fine of AED 500 will be charged per incident to any guest who smokes or vapes in a non-smoking room, in addition to charges for damages, deep-cleaning, and any revenue loss from room out-of-service.

  • Smoking is permitted only in designated outdoor areas (where available) and is subject to local regulations.

9) Alcohol, Conduct & Quiet Hours

  • Alcohol consumption is permitted in licensed venues and guest rooms in accordance with UAE laws; public intoxication is not tolerated.

  • Please respect quiet hours [e.g., 22:00–08:00] and other guests’ comfort.

  • The Hotel may refuse service or evict (without refund) any guest engaging in illegal, unsafe, or disruptive behavior.

10) Damage, Loss & Security Deposit

  • Guests are liable for any damage to rooms, furnishings, or Hotel property caused by themselves or their invitees.

  • A refundable deposit/pre-authorisation may be taken to cover incidentals; deductions may be made for damage, missing items, smoking fines, minibar use, or unpaid charges.

11) Facilities & Services

  • Use of facilities (pool, gym, spa, restaurants, parking/valet, etc.) is subject to hours, capacity, attire, age limits, and safety rules posted in each area.

  • The Hotel may temporarily close or modify facilities for maintenance, private events, or safety.

12) Housekeeping & Environmental Measures

  • Standard housekeeping is provided once daily unless otherwise stated.

  • Linen/towel changes follow sustainability guidelines; please use the in-room indicators if you wish to adjust frequency.

13) Items Brought to the Hotel

  • A safe is provided in rooms; however, the Hotel is not liable for loss, theft, or damage to cash, jewelry, or valuables not deposited in designated secure storage where available.

  • Prohibited items (hazardous materials, cooking appliances, drones, etc.) may not be brought into rooms without written consent.

14) Lost & Found

  • Items found are logged and stored for a limited time. Shipping of recovered items is at the guest’s risk and cost.

15) Accessibility

  • Accessible rooms/facilities are available in line with UAE standards; please contact us for specific needs prior to arrival.

16) Data Protection & Privacy

  • We process guest data to manage reservations, comply with legal obligations (including guest registration), prevent fraud, and provide services.

  • The Hotel adheres to applicable UAE data protection laws and regulations. Requests to access, correct, or delete personal data can be made through our contact channels.

17) CCTV & Safety

  • For safety and asset protection, CCTV operates in public areas in line with local regulations. Recordings may be shared with competent authorities when required by law.

18) Force Majeure

  • The Hotel is not liable for failure or delay in performance due to events beyond reasonable control (e.g., acts of God, government actions, emergencies, or infrastructure outages). In such cases, we may cancel reservations without liability; prepaid amounts will be handled per rate plan and applicable law.

19) Third-Party Bookings

  • Bookings via travel agents/OTAs remain subject to these Terms; in case of discrepancy, the agent’s rate plan conditions and legally mandated fees/taxes will still apply.

20) Amendments

  • We may update these Terms at any time. The version effective at check-in (or stated in your confirmation) applies.

21) Governing Law & Jurisdiction

  • These Terms are governed by the laws of the UAE and applicable regulations of the Emirate of Dubai. Courts of Dubai have exclusive jurisdiction over disputes arising hereunder.
